Before the Entry Deadline

  1. If your club does not already use TeamUnify, SwimClub Manager or Hy-Tek's Team Manager, download and install Team Manager Lite (free);
  2. Ensure your Team/Club Setup is exactly as set out in the table below, including full and short club names and club codes (usually only necessary to check before 1st round);
  3. Download and import the relevant electronic entry file from above into TeamUnify, SwimClub Manager, Hy-Tek's Team Manager or Team Manager Lite;
  4. Build your team. Read the SwimClub Manager or TM Lite / Team Manager guide for help;
  5. Ensure data relating to swimmers matches the data held by Swim England (click here to check data held in Hy-Tek's Team Manager; click here to check SE membership records);
  6. Enter the relays as well as the individuals although the relay team members do not need to be completed nor updated as relay results do not get sent to Rankings;
  7. Export and submit electronic entry file to whitehorse @ edsc.org.uk (without the spaces) by 10am on the day of the gala; otherwise their club's results will not be sent to Rankings.

Failure to adhere to the above, in particular using swimmer data that does not match Swim England's database, will mean that results are not accepted by Rankings. Incorrect dates of births or misspelling of names are common errors that can be avoided if Team Managers use the appropriate resources to check (included above). 

After the Entry Deadline

If there are any subsequent amendments to the individual entries only then these must be set out using the 'On The Day Individual Entry Update Form' and handed to the recorders before the start of the warm up. Updates on relay swimmers are not necessary because relay results are not sent to Rankings.

After the Gala

For Clubs that use them, locate and download the relevant Hy-Tek results file under the 'Results' folder by clicking here and import that into TeamUnify, SwimClub Manager or Hy-Tek's Team Manager. A PDF version of results will also be available on the same results page.
